Privacy Policy
Launch Test One uses OurCommunitySite to run this website. This privacy policy applies to every community site on OurCommunitySite.
Effective November 2, 2026
OurCommunitySite is a service of Imaj Associates, LLC (“OurCommunitySite,” “we,” “us”). We host websites for homeowner and condominium associations. This policy explains what personal information we handle, why, who we share it with, and the choices you have.
We don’t sell personal information, use it for advertising, or send residents marketing.
Two kinds of information
Information we are responsible for. When you visit ourcommunitysite.com, sign up an association, or pay for a subscription, we decide how that information is used. This policy covers it fully.
Information we handle for an association. Everything an association and its residents put on a community site, such as resident names, addresses, documents, messages and payment records, belongs to that association. We store and process it on the association’s behalf, under our Subscription Agreement with the association. The association decides who is invited, what is collected and what is kept. If you are a resident, questions about your community’s records go to your association’s board or manager; this policy explains how we protect that information while we hold it.
Information we collect
| Who | What we collect | Where it comes from |
|---|---|---|
| Visitors to ourcommunitysite.com | Pages requested, IP address and browser details in our host’s server logs. We use no analytics, advertising or social-media tracking. | Your browser |
| People who sign up an association (board members, managers) | Name, email address, association name and address, number of homes, password, and the answers you give in the optional Done-for-You setup questionnaire. When you accept the Subscription Agreement we record the version, date, time, account and IP address. | You |
| Paying customers | Billing name and address, plan, payment history. Card details are entered on Stripe’s page and go straight to Stripe; we never see or store full card numbers. | You and Stripe |
| Residents, board members and site administrators | Name, email address, property address, and anything you or your association add, such as a phone number, move-in date, directory choices, consent to receive official notices by email, amenity bookings, survey and vote responses, violation records, dues balances and payment records, and content you submit. | You and your association |
| Everyone who signs in | Login details, two-factor authentication settings for administrators, and security records such as sign-in times. | You and our systems |
| Anyone who emails us | Your message and contact details. | You |
How we use it
We use personal information only to run the service:
- create and secure accounts, including two-factor sign-in for administrators;
- host each community’s site and show each person what their association allows them to see;
- send the email the service needs, such as invitations, password resets, receipts, and the announcements and notices an association sends through its site;
- bill subscriptions and, where an association turns it on, let residents pay dues online;
- verify mailing addresses entered on a community site;
- answer support requests and tell customers about changes to the service or their account;
- keep the service secure, block automated sign-ups, investigate misuse, and meet our legal obligations.
What we never do. We don’t sell or rent personal information. We don’t use it for advertising or build profiles. We don’t send residents marketing. We don’t let our AI provider train its models on what you send.
Who we share it with
Service providers. These companies help us run the service. Each receives only what it needs for its part and may not use it for anything else. The current list is at ourcommunitysite.com/subprocessors.
| Provider | What it does | What it receives |
|---|---|---|
| WP Engine | Hosts the websites and their data | Everything stored on the sites |
| Stripe | Processes subscription and dues payments | Payer name, email, billing details and card details entered on Stripe’s page |
| Elastic Email | Sends the service’s email | Recipient names and addresses, and message contents |
| Anthropic | Provides the AI model behind the AI features | The text sent to a feature (see AI features below) |
| U.S. Postal Service | Verifies and standardizes mailing addresses | Addresses entered for verification |
| Shows maps and supplies the web fonts on the sites | Your IP address and the page’s map location, when a page with a map or our fonts loads | |
| Cloudflare | Checks that a sign-up comes from a person, not a bot | Browser and device signals on the sign-up page |
Your association. A community’s board and site administrators can see the information their site holds about residents and properties. Other residents see only what you choose to show in the resident directory.
Legal reasons and business changes. We may disclose information when the law requires it, to respond to valid legal process, or to protect the safety of people or the service. If our business is sold or merged, the information would pass to the new owner under this policy’s protections, and we would tell customers first.
Payments
Subscription payments and online dues payments are processed by Stripe. You enter card details on Stripe’s own page, under Stripe’s privacy policy; we never receive full card numbers. Dues go to the association’s own Stripe account, not to us, and we never hold an association’s money. We keep a record of each payment, such as the amount, date, home, any note entered with it, and its status, so the association can keep its books.
AI features
Some features use an AI model from Anthropic: Community Rules Q&A and document questions for residents, and writing help for site administrators. The text you send to one of these features (your question, or the details you ask it to write from) and the relevant passages of your community’s documents go to Anthropic to produce the answer. Anthropic may not use it to train its models and keeps it only for a limited time under its own terms. We don’t keep a record of the questions residents ask. Please don’t put sensitive personal information, such as account numbers or medical details, in a question.
We send email through Elastic Email. Emails to residents come from their association. Our email provider records whether each message was delivered or bounced, so we can fix delivery problems. If a message to a resident bounces, the association sees that so it can correct the address. We don’t track whether you open our emails or which links you click.
Cookies
We use only the cookies the service needs to work. There are no advertising or analytics cookies.
- Sign-in cookies keep you logged in and protect your account.
- Sign-up cookies remember the plan you picked and help tell people from bots on the sign-up page, along with Cloudflare’s check.
- Payment pages are on Stripe’s site and use Stripe’s own cookies.
If you block cookies in your browser, you can still read public pages, but you won’t be able to sign in.
How long we keep it
- Community site information is kept while the association’s subscription is active, for as long as the association keeps it. Associations must keep certain official records for periods set by law, so some information may stay after a resident’s account is closed.
- After a subscription ends, we keep the association’s information for 30 days so the association can get an export, then delete it from the live service. Backup copies are deleted on their normal schedule, within 90 days.
- Billing and tax records are kept as long as the law requires.
How we protect it
All sites use encrypted connections. Passwords are stored in scrambled (hashed) form, never as plain text. Site administrators must use two-factor sign-in. Each association’s site is kept separate from every other site, and only the people who run the service can reach the systems behind it. No system is perfectly secure, but we work to keep yours safe.
If a security breach exposes personal information, we will tell the affected association promptly, and no later than 10 days after we discover it, and we will help it notify the people affected as the law requires.
Your choices
- Your profile. Residents can update their contact details and choose what, if anything, the resident directory shows about them, at any time in their profile.
- Email notices. You decide separately whether your association may send you official notices by email; that consent is never assumed.
- Access, correction and deletion. Customers can ask us to see, correct or delete their account and billing information. Residents should ask their association, which controls its site’s records; if you contact us, we will pass your request to the association and help it respond.
Children
The service is for adults. Accounts are for people 18 and older, and we don’t knowingly collect information from children.
Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If a change is important, we will email customers before it takes effect.
